Importing parts in bulk allows businesses to quickly add multiple spare parts to the Parts Catalog using an Excel file. This method saves time, reduces manual entry, and ensures consistent data management for service operations.

Step-by-Step Guide to Import Parts

1. Navigate to Import Parts

  • Go to Settings from the left-side menu.
  • Click on Business Portal.
  • Select Work Order.
  • Open the Parts tab.
  • Click the + Part button.
  • Select Import Parts from the dropdown menu.

You will be redirected to the Import Parts screen.



2. Review Import Instructions

Before uploading the file, review the following guidelines:

  • You can import a maximum of 100,000 records at a time
  • Date format should be DD/MM/YYYY or YYYY/MM/DD (if applicable)
  • The spreadsheet must include a header row
  • Ensure all required fields are present
  • Use the correct SKU ID and Brand ID values

3. Prepare the Excel File

Create or update the Excel file using the required columns.

Required Fields

  • ID* — Unique Part ID
  • Name* — Part Name

Optional Fields

  • Image
  • Description
  • Weight
  • Weight Unit
  • Part Cost
  • Shipping Cost
  • Part URL
  • SKU ID
  • Brand ID



4. Upload the File

  • Click Click to import or drag and drop the Excel file
  • Supported formats:
    • XLSX
    • XLS

Then click: Next

5. Map Columns

  • Match Excel columns with system fields
  • Verify all required fields are correctly mapped

Click: Next



6. Review and Repair Errors (if any)

If there are issues in the file:

  • The system will highlight errors
  • You can correct them directly in the system
  • Or download the error file and fix it in Excel

Common errors include:

  • Missing Part ID
  • Duplicate Part ID
  • Invalid SKU ID
  • Invalid Brand ID

After fixing errors, click: Next

7. Complete the Import

  • Review the summary
  • Click Import to finalize the process

Once completed:

  • Parts will be added to the Parts Catalog

After successfully importing parts:

  • Multiple parts are added at once
  • Parts are linked to the selected SKU and Brand
  • Parts become available for use in Work Orders
  • The Parts Catalog is updated automatically
